Marketing: Custom Automation Workflows

How to use and setup custom automation workflows in WIZniche.

Workflows

Click on your Avatar in the top right corner of the dashboard.

  1. Select Settings from the dropdown menu.

  2. Scroll down to the Communication section.

  3. Click on Automations.

Once in Automation, click the Workflows tab to access the visual builder.

This allows you to create complex sequences (e.g., Deal Created -> Wait 2 Days -> Send Email -> Wait 3 Days -> Create Task).

Building a Workflow

  1. Triggers: Locate the Triggers list on the right-hand sidebar (e.g., Quote Approved, Job Completed).

  2. Drag and Drop: Click and drag the desired trigger onto the center canvas.

  3. Add Actions: Drag an Action (like Send Email or Send SMS) from the sidebar and drop it below your trigger.

  4. Add Tasks: Creates an internal to-do list item for your team (Manual email task, Call task, or General task). These tasks automatically get assigned to the designated employee that complete the workflow.

    • Auto-Connect: You do not need to draw lines manually. Simply drop the action below the previous step, and the system will automatically connect them to form the sequence.

  5. Configure Steps: Click on any step in your workflow to customize it.

    • Example: If you drop a "Send Email" action, click it to select which Template you want to send.

No Templates?

Before building a workflow, you need to define what you want to say. The emails and text messages sent by your automations are pulled from your Templates library.

How to create a Template:

  1. Navigate to Settings > Communication > Templates.

  2. Here you can create reusable email or SMS drafts.

  3. Give your template a name (e.g., "Deal Follow-up 1") and write your content.

  4. Once saved, these templates will appear as options inside the Workflow builder.


Workflow Settings (Business Hours)

Inside the workflow builder, click the Settings tab at the top.

  • Execute steps on business days only: Toggle this ON to ensure emails are only sent during your company's operating hours. If a step triggers on a Sunday, the system holds it until Monday.

  • Automated email send window: Define a specific time range (e.g., 9:00 AM to 5:00 PM) for emails to go out.


Part 4: Smart Unenrollment (The "Automate" Tab)

Use the Automate tab within the Workflow builder to stop the bot when a human takes over.

You can enable rules to Unenroll a contact from the sequence automatically:

  1. When a contact replies to any email: If they reply, the workflow stops so you can answer personally.

  2. When a contact books a meeting / schedules a job: If the goal of the workflow was to get a booking, the sequence stops immediately once that goal is achieved.

Part 5: Preview

If you want to preview the workflow you have created as a flow chart, click on the Preview button to view a quick flow chart of your workflow.

Part 6: Activate

Once you are satisfied with your workflow, click on the Activate button to set your workflow as active.
