Step 1: Start a New Assessment
Click on the Three-Line Sidebar menu (top left).
Click the green (+) Create New button.
Select Assessment from the menu.
OR
Navigate to the Assessments page.
Click the Blue Plus (+) button in the top right corner.
You will be taken to the New Assessment page, which defaults to the Details tab.
Step 2: Add Customer & Property
Customer Section
Search/Add: Type to find an existing customer or click + Create New Customer to add one on the fly.
Multiple Customers: You can add multiple contacts to an assessment (e.g., a tenant and a landlord).
Notify vs. Paid By:
Notify Toggle: Turn this ON for anyone who should receive email updates (e.g., both husband and wife).
Paid By: Select the one person responsible for the bill.
Property Section
Service Location: Search for an existing address or create a new one.
Google Preview: As soon as you select a location, a Google Map preview will appear to confirm the pin drop is accurate.
Step 3: Scheduling the Technician
Scroll down to the Schedule section.
Select Technician: Click the field to choose an employee.
Pro Tip: As soon as you select a technician, their schedule will appear on the calendar to the right, helping you avoid double-booking.
Set Date & Time: Enter the Start Date/Time and End Date/Time.
Step 4: Add Notes & Tags
Tags: Add tags like "Urgent" or "VIP" to categorize the job.
Notes: Add internal notes for your team (e.g., "Beware of dog"). These are timestamped so you know who wrote them.
Access Info: Click the Access button to record gate codes or lockbox combos.
Step 5: Save
Save as Draft: If you aren't ready to schedule it yet.
Save: Finalizes the assessment and adds it to the calendar.
Updating Status & Notifying Clients
The status dropdown is your main control switch. Changing the status often triggers automated communications:
1. Pending โ Scheduled: Sends an email confirming the appointment time with an "Add to Calendar" button for the client.
2. On My Way / Start Job: Triggers a popup where you can notify the client that the technician is en route or to inform them with the official start time.
3. Complete: Marks the assessment as finished.
Converting to Quotes, Jobs, or Invoices
Once the assessment is done, you usually want to sell the work. You don't need to re-type the information!
Go to Quotes Tab: Click + Quote to build an estimate based on your findings.
Go to Jobs Tab: Click + Job to schedule the actual work immediately.
Go to Invoices Tab: Click + Invoice to bill for the assessment visit itself.
Linking: Any item created this way will have a "View Assessment" hyperlink. This keeps your records connected, so you can always trace a final invoice back to the original assessment that started it all.
Using Checklists & Attachments
Checklists Tab If you have set up mandatory checklists in your Company Settings, they will appear here.
Note: If configured, a technician may be blocked from marking an assessment as "Complete" until all checklist items are checked off.
Attachments Tab
Upload photos or documents related to the site visit.
Send with Invoice: Toggle this option if you want these photos to be attached automatically when you bill the client later.
